Administrative Assistant

supports the Executive Team in daily operations, Investor Relations & Legal activities and handles the company's travel & expense management.

Tasks & Responsibilities

Administrative Support
  • Work with the Executive Assistant to support the Executive Team in daily operations
  • Manage general administrative activities (international correspondence, handling of office supplies, insurances, and vehicle fleet)
  • Arrange meeting and conference set up
  • Manage ad hoc projects
  • Cover Reception during breaks, holidays, and illness (includes handling of incoming calls, welcoming visitors, handling post and packages)
Travel & Expense Management
  • Administrator of company’s travel & expense tools
  • Point of contact for all employees regarding travel & expense activities
  • Coordinate and arrange travel and related activities for the Executive Board
Investor Relations & Legal Support
  • Assist in the preparation and execution of the Annual Shareholder Meeting
  • Administration of company’s contracts (includes maintenance of database)
  • Support Executive Assistant in Data Protection activities & measures in close collaboration with IT and HR departments

Experience & Mindset

  • Bachelor’s Degree and/or completed apprenticeship with previous working experience in administrative or similar roles
  • Works proactively, structured and detail-oriented with the ability to prioritize
  • Attention to detail and self-organization
  • Excellent communication skills and good manners
  • Authentic and charismatic personality, positive mindset
  • Genuine desire to meet the needs of others
  • Excellent German and English written and verbal communication skills

(German on a native level)

  • Experience in working on MacOS, knowledge of Keynote beneficial
