The Human Resources Associate will support a variety of HR administration duties for the German speaking region with focus on payroll, benefits administration and general HR back office and works council coordination. He or she will ensure consistent application of HR policies and state, federal, and / or country laws and practices.

The Human Resources Associate will support the HR Buiness Partner DACH in various aspects of Human Resource Management, identification of improvement opportunities and developing and implementing processes and solutions. The Human Resources Associate will also closely collaborate with HR associate peers in the region.

POSITION RESPONSIBILITIES

1 – PAYROLL ADMINISTRATION FOR ASSIGNED COUNTRIES


:
Coordinate payroll activities with external service provider and ensure payroll is processed correctly by vendor and is executed on time.
  • Pre- Payroll activities: Ticket Management in Payroll ticketing tool: raise tickets, follow up on necessary actions in the tool, making sure all is submitted timely and approved
  • Cooperation with and coordination of external payroll vendor; responding to vendor inquiries concerning payroll for assigned countries
  • Post payroll activities, such as benefit- and or other necessary reporting
 

2 – BENEFIT ADMINISTRATION FOR ASSIGNED COUNTRIES:


Administer and coordinate benefit plans in assigned countries:
  • Reporting & Data submissions, Enrollements
  • Liaising with providers
  • Allowance administration,
  • Benefits - management of proper deductions on payroll lists – taxation etc.
 

3 - WORKFORCE ADMINISTRATION


:

Data Management, HR system support & Reporting, Onboarding, Time & Attendance :
  • Management of all personal data of employees in Workday - verification of correct data input, verification of completion of approval flow, incl.
  • HR Transaction management: Onboarding, Hiring, Transfers & Promotions, exit management, etc.
  • Preparing and Coordinating Works Council information and hearings for required personell changes and other business topics.
  • Preparation of documentation for personal files where applicable, eg. any change in work conditions, hiring contract, work certificate, compensation verification; Archiving of HR documents and personnel file management
  • Holidays (proper allocation of holidays in WD, holiday balance set up at the beginning of the year)
  • Sick leave documentation
  • Contingent worker – overseeing contingent worker population and ensuring data is is correctly kept in WD by the business/managers
 

4 - RECRUITMENT SUPPORT


Support the HRBP and Hiring Manager in the posting and recruiting process:
  • Posting internally and externally, cooperation with Hiring Manager of final posting details
  • Cooperation with HR BP regarding offer for the candidate
  • Hiring and onboarding of selected candidates
 

5 - EMPLOYEE AND MANAGER ENQUIRIES

Resolves HR process and policy questions and colleague/manager inquiries which are raised through multiple communication channels, escalating where appropriate and takes full accountability for ensuring a timely and quality resolution for all inquiries and issues, Helps to build and leverages knowledge management solutions to complete inquiries and transactions. Demonstrates empathy to the colleague’s situation and speaks in a manner / tone the colleague can understand and relate with

 

6 - OTHER

  • Supports in and manages special projects and related duties assigned
  • Supports change programs, colleague engagement and cultural programs and initiatives
 
 

 EDUCATION AND EXPERIENCE

 
  • HR related education/apprenticeship required, Bachelor’s Degree in relevant field a plus.
  • 3-5y+ years of relevant experience required; preferably in a multi-national/global company
  • Sound knowledge of HR functions, processes, local legislation and operations, including talent management and talent acquisition, data administration, compensation / benefits administration and works council and employment law.
  • Knowledge and experience of pharmaceutical and/or Animal health industry is a plus
  • Experience managing HR projects is strongly preferred
 

Skills

  • Excellent written & oral communication skills in German and English required; additional languages a plus.
  • Excellent interpersonal/influencing skills, and skilled in developing professional relationships with colleagues, supervisors, and peers including the ability to communicate with different stakeholders ond different levels in th eorganisation and operate in multicultural/ international environment
